The hard drive is the risk nobody thinks about

Many copiers store scanned and printed images. Before disposal or lease return, ensure the drive is wiped or removed according to the manufacturer's procedure and document it.

Secure print release

Requiring a PIN or badge at the machine stops sensitive documents sitting in the output tray and cuts wasted pages at the same time.

Firmware and network hygiene

Change default admin passwords, disable unused protocols such as FTP and Telnet, and keep firmware current. Copiers are network devices and get scanned like any other.

Scan destinations

Audit scan-to-email and scan-to-folder targets periodically. Former employees in an address book are a quiet data leak.
